Island Home Renovations Ltd. ("we", "us", "our") respects your privacy. This policy explains what personal information we collect through this website and in the course of our renovation work, why we collect it, how we use and protect it, and the rights you have over it.

We handle personal information in accordance with British Columbia's Personal Information Protection Act (PIPA) and, where applicable, Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

1. Information we collect

Information you give us

  • Enquiry details — name, email address, telephone number, property location, the service you are interested in, budget range and whatever you write in the message field.
  • Project information — once you become a client: property address, land title particulars where a permit requires them, drawings, photographs of your home, selections and payment records.
  • Correspondence — emails, text messages and notes from site meetings and phone calls.

Information collected automatically

  • Technical data — IP address, browser type and version, device type, operating system, referring page and the pages you view on this site.
  • Cookie data — see our Cookie Policy for the full list. Analytics cookies are only set if you consent.

We do not knowingly collect personal information from anyone under the age of 16, and we do not collect sensitive categories of information such as health data, ethnicity or political opinions.

2. Why we collect it

  • To respond to your enquiry and prepare an estimate or quotation
  • To perform a contract with you, including scheduling, ordering materials and managing warranty claims
  • To submit permit applications and comply with municipal, provincial and WorkSafeBC requirements
  • To keep the records required by tax, corporate and consumer-protection law
  • To improve this website and understand which guides are useful (only with your analytics consent)
  • To send occasional updates, if — and only if — you have asked to receive them

Under PIPA we rely on your consent, which may be express (ticking the box on the contact form) or implied (writing to us directly about a project). We also rely on the statutory exceptions that allow an organisation to collect and use information reasonably required to perform a contract and to meet legal obligations.

You may withdraw consent at any time by writing to [email protected], subject to legal or contractual restrictions and reasonable notice. Withdrawing consent may mean we can no longer provide a service to you.

4. Who we share it with

We do not sell personal information, and we never share it with advertisers. We disclose it only in these circumstances:

  • Trades and consultants working on your project — electricians, plumbers, engineers, designers and suppliers, limited to what they need to do their part.
  • Municipal authorities — as required for permit applications and inspections.
  • Service providers — our accountant, our project-management software provider and our email host, each bound by confidentiality obligations.
  • Where the law requires it — in response to a court order, a lawful request from a public authority, or to establish or defend a legal claim.

5. Where it is stored and for how long

Project records are held in Canada on our own systems and with Canadian-hosted service providers. Some service providers may process limited data outside Canada; where that happens, the information may be accessible to foreign courts and law-enforcement agencies under the law of that jurisdiction.

Record typeRetention period
Enquiries that do not become projects24 months
Contracts, drawings and permit records10 years after completion
Financial and tax records7 years (Canada Revenue Agency requirement)
Warranty documentationTerm of the warranty plus 2 years
Website analytics (if consented)14 months

6. How we protect it

We use access controls, encrypted storage, encrypted transmission (HTTPS), multi-factor authentication on business accounts, and a clear-desk practice for the paper drawings that inevitably accumulate on a construction project. No system is perfectly secure, but we take reasonable measures proportionate to the sensitivity of the information.

7. Your rights

  • Access — you may request a copy of the personal information we hold about you.
  • Correction — you may ask us to correct information that is inaccurate or incomplete.
  • Withdrawal of consent — as described above.
  • Complaint — you may complain to us first, and then to the Office of the Information and Privacy Commissioner for British Columbia if you are not satisfied.

We respond to access requests within 30 business days as required by PIPA. There is no charge for a reasonable request.

8. Photography on your project

We photograph our work for our records, for warranty purposes and — with your written permission — for our website and social media. Permission for marketing use is requested separately in your contract and can be declined without any effect on your project or price. If you have previously agreed and change your mind, tell us and we will remove the images from anything we control.

9. Links to other sites

This website links to third-party sites such as our social media profiles and municipal building departments. We are not responsible for their privacy practices, and we encourage you to read their policies before providing any information.

10. Changes to this policy

We review this policy annually and whenever our practices change. The date at the top of this page shows the current version. Material changes will be flagged on the home page for at least 30 days.
